Understanding Reports

StudentTracker reports allow you to see the postsecondary achievements of the students you reported as graduating from your school(s). The Clearinghouse matches your students against our robust nationwide database of postsecondary records and returns enrollment and degree data on the students for whom we have student records in our database.

Reports are provided at the account level for each high school on your account for which you’ve submitted data, unless your Memo of Understanding states otherwise.

Types of Reports

Basic Packet

The Basic Packet is a 45-page PDF document that contains outcomes for enrollment during the first fall term within the first year and within the first two years along with persistence and completions. Outcomes are broken out by postsecondary characteristics (2/4-year, public/private and in-/out-of-state) and are provided for the most recent eight academic years of high school graduate data you provide. There is a glossary provided at the end of the packet and as an XLS file.

For more information, see our Clearinghouse Academy tutorial video: Understanding Your Reports .

Demographic Packet

The Demographic Packet is provided as a PDF document and in XLS format. It contains outcomes similar to those in the Basic Packet that are broken out by demographic data elements (e.g. gender, race/ethnicity, economic disadvantage, disability, English language learner). Outcomes are provided only for the demographic data elements that you submit. You will receive reports for the most recent eight academic years of high school graduate data that you provide.

Academic Packet

The Academic Packet is provided as a PDF document and in XLS format. It is the same as the Demographic Packet, but it also includes the following academic data elements for the most recent eight academic years of high school graduate data you provide:

  • Eighth grade and high school math assessment
  • Eighth grade and high school ELA/reading assessment
  • Dually enrolled
  • Number of math semesters

Top 25 Colleges First Attended Report

The Top 25 Colleges First Attended Report is a CSV file showing the top 25 colleges that your students first attended based on data included in your student-level detail report. This report identifies whether a student returned to the same or different postsecondary institution in their second year and whether they received a credential. You will receive this report for each of the most recent eight academic years of high school graduate data you provide.

For more information, see our Clearinghouse Academy tutorial video: Understanding Your Top 25 Colleges Attended Report .

Student-Level Detail Report

The Student-Level Detail Report is a CSV file that contains at least one row for each student you submit. If the student record matches postsecondary records in the Clearinghouse’s database, the record found indicator will equal “Y,” and those records will be returned to you in this report. Only postsecondary records on which the student has not placed a FERPA block are included in this report.
