Student Level Report Resolution for Common NSLDS Errors

After the Clearinghouse sends your Student Level Report to the National Student Loan Data System (NSLDS), NSLDS either sends back an error report (1+ error records) or acknowledgement (zero error records). After we receive the NSLDS error report, the Clearinghouse sends a system-generated email from schoolops@studentclearinghouse.org to administrators who have either the Financial Aid Officer or Financial Aid Viewer role. The subject line of the email is ACTION REQUIRED: FVT/GE Student Level Report Error File Received.

Access the error list

  1. Log on to your Clearinghouse account.
  2. Click the “FVT/GE Reporting Dashboard” link on the Student Reporting tab to open the FVT/GE Dashboard.
    1. You can also click the FVT/GE tile or the FVT/GE Reporting button on the left navigation bar on the Data Reporting Dashboard.
    2. Select “View NSLDS Error Report” on the Student Level Report tile.

Users with the Financial Aid Officer or Financial Aid Viewer role can review the errors, displayed in separate Enrollment Reporting errors and FVT/GE errors tabs, and download the “NSLDS error report worksheet.” To ensure accurate reporting, you should use the worksheet as your guide when entering the necessary corrections for your institution directly into the NSLDS system.

What happens when a student/program should be excluded from your institution’s Student Level Report?

No correction on the NSLDS website is required if the student/program combination should be excluded from your institution’s Student Level Report. That’s because NSLDS rejected the record, and the student/program will not be part of your Student Level Report. However, it is good practice to document any relevant information for your institution’s recordkeeping, including describing why the error was not corrected (e.g., the student never received Title IV aid at any time from your institution for enrollment in that program, not just for the award year being reported). 

How to confirm your institution corrected an NSLDS error on your Student Level Report

If the student/program combination should be included in your institution’s Student Level Report, you’ll see the error record correction displayed on the “FVT/GE Maintenance” tab when you correct it on the NSLDS website. This is confirmation that the student/program was successfully added to your Student Level Report.

Each time you correct an error, and the record is successfully added to the Student Level Report, the confirmation page displays on the NSLDS website. There is no display on the NSLDS site confirming multiple records were corrected. The Clearinghouse site’s “View NSLDS Error Report” tab will not change when your correct errors on the NSLDS website because it is a static list for your institution’s recordkeeping.

How to navigate the NSLDS website to correct Student Level Report errors

See figure 14 on page 33 of the NSLDS FVT/GE User Guide (volume 1) to ensure you navigate to the proper area to review enrollment in NSLDS and correct Student Level Report errors. Have your Clearinghouse site “NSLDS error report worksheet” handy to refer to error codes and each corresponding student name, Social Security number (SSN), CSID, CIP code, credential level, and award year.

Error 21: Reported Program Matches to a Program with an “X” or “Z” Status

On the Enrollment tab, you can query by SSN to confirm the program’s enrollment history is complete for the student.

If the program incorrectly reflects “X – never attended” or “Z – not found,” or is missing for the 8-digit OPEID, use “Enrollment History Update” to report all the historical enrollment status increases/decreases for the program

If no record is found on the Enrollment tab, navigate to the Aid Recipient tab to query the student and, using “Enrollment History Update,” update the student’s campus- and program- level enrollment history.

On the FVT/GE Maintenance tab, query by SSN and then select the “Add Student/Program” button to enter the student and program information and add them to your Student Level Report.

There is a display on the NSLDS site page that acts as confirmation you have successfully added the student/program to your Student Level Report.

Error 22: Reported Program Does Not Match to a Current Existing School-Certified Program at the School for the Student

On the Enrollment tab, you can query by SSN to confirm the campus and program enrollment history is complete for the student.

If the campus and program enrollment is incomplete or missing for the 8-digit OPEID, use “Enrollment History Update” to report all the historical enrollment status increases/decreases at the campus and program levels.

If no record is found on the Enrollment tab, navigate to the Aid Recipient tab and use “Enrollment History Update” to query the student and update the student’s campus- and program-level enrollment history.

In “FVT/GE Maintenance’ tab, query by SSN and then select the “Add Student/Program’ button to enter the student and program information and add them to your Student Level Report.

Error 26: No Detail Record Matches the Student Identifiers (FN, LN, DOB, and SSN) in the NSLDS DB (Database)

On the Enrollment tab, you can query by SSN to confirm the program’s enrollment history is complete for the student. You should make note of the legal name/other student identifiers reflected on the NSLDS website’s Enrollment tab.

On the FVT/GE Maintenance tab, query by SSN and then select the “Add Student/Program’ button to enter the same student identifiers shown on the NSLDS Enrollment tab, along with other required Student Level Report fields.

Error 26 Best Practice Tips:

For discrepancies for past students (e.g., withdrawn, graduated):

  • Your institution can react to variations of the student name at its own discretion. For example, your institution may determine the best approach is to document the variation in student identifiers between your student information system (SIS) and the NSLDS website’s Enrollment tab.The student may have changed their legal name after withdrawing/graduating. Therefore, you may want to be cautious and take no action other than to document it for recordkeeping purposes and add the student/program to your Student Level Report with the student identifiers already on file with the NSLDS (those displayed on it website’s Enrollment tab).
  • For date of birth (DOB) discrepancies, you should confirm and document the DOB and other student identifiers and follow up after you complete your institution’s FVT/GE reporting for the current cycle. Follow the appropriate channels and protocols to update any system(s) reflecting incorrect DOBs (i.e., your SIS, COD, NSLDS, the Clearinghouse, etc.).

For discrepancies for current students:

  • You should confirm and document the legal name and other student identifiers and follow up after you complete your institution’s FVT/GE reporting for the current cycle. Following the appropriate channels and protocols to update any system(s) reflecting outdated or erroneous student identifiers (i.e., your SIS, COD, NSLDS, the Clearinghouse, etc.).

Error 62: Required Field Student First Name

On the FVT/GE Maintenance tab, query by SSN and then select the “Add Student/Program” button to enter student identifiers, including first name, along with other required Student Level Report fields.

Error 63: Required Field Student Last Name
